Who we are

Samana is manufacturing and resource planning software that companies use to plan, price and run their work, from building jobs to farm seasons, at samana.tech and app.samana.tech. It is made and run by Sattva Technologies LLC, a Massachusetts company ("we", "us"). This policy covers Samana and its portals (Team, Partners, Customer and the floor). Apps that run on Samana, such as Farmmetric, and Sattva's contractor quote service have their own pages that add to this one.

Two kinds of information

• Your company's records. Jobs, drawings, takeoffs, schedules, prices, costs, people, photos and notes, plus anything you enter about your own customers. These belong to your company. We hold them for you and use them to run Samana for you.
• Our account records. Who signed up, your plan and billing, how to reach you, and how your company uses Samana (for example which arms you use and what kind of work your jobs are). We use these to run our business, including the offers described below.

What we collect

• Sign-in: your email address. If you sign in with Google, Microsoft or Apple, your name and email from that account. Two-step sign-in codes if you turn them on.
• Your company's records: everything you and your team enter, including details about other people: crew, subs, partners, and your customers (names, emails, phone numbers, job addresses, what they owe and have paid).
• Payments: your plan and billing history. Card details go to Stripe, never to us.
• Messages: what you send us when you ask for help.
• Technical records: your sign-in session is kept in your browser so you stay signed in. Our hosting and database providers keep standard server logs (IP address, time, page asked for) for security.
• Error reports: see Backups and error tracking below.

How we use it

• To run Samana: sign you in, save your records, show them to the people your company invites at the level your owner sets, and work out schedules, quantities and money.
• To email you from samana.tech: sign-in links, notices about your jobs, invitations, receipts and answers to your questions. Samana's email only ever comes from a samana.tech address.
• For Sai, the built-in assistant: when you ask Sai something, your question and the records it needs to answer are sent to Anthropic's Claude to write the answer. Sai only reads what the person asking is allowed to see.
• To keep Samana safe and working: security, fixing errors, and backups.
• To offer you building services from Sattva Technologies: see the next section.
• When the law requires it.

We do not sell personal information, show ads, or share information with anyone for advertising. Samana has no ad pixels and no tracking across other sites or apps.

Offers from Sattva Technologies

We may contact your company to offer building and construction services from Sattva Technologies, a builder. We decide what to offer from what we see in Samana: the kind of work, its size, its town or state, and where it stands on the schedule.

• We contact the owner or office of the company that uses Samana. We never contact your customers, crew or partners.
• We do not use your prices, costs or your customers' details to make an offer, and we never approach your customer about your job.
• We never pass your details to another company to make an offer.
• Every offer email has a one-click way to stop them, and Settings has the same switch. Stopping offers never stops your sign-in, job or billing emails.

Any work Sattva does for you is under its own written agreement, not under Samana's terms.

Who can see your company's records

• People your owner invites, at the level the owner sets. Each portal sees only its own level's records, and the database itself enforces this, not just the screens.
• Another company you share a job with. For example, a contractor who shares a job with Sattva as GC. That company sees that one job, nothing else in your company, while it is shared. What it was already sent stays with it after you stop sharing.
• A small number of Sattva staff, to run the service, keep it secure, fix a problem, help when you ask, and find offers as described above. Each time one of us opens a company's records, it is recorded in the audit trail with who and when.

Companies that handle data for us

Each gets only what it needs to do its job.

Backups and error tracking

• Backups: a copy of the whole database is made every day and kept in a private Google Drive folder that only Sattva's owner can open. Copies are encrypted and kept for up to 7 years, then deleted.
• Undo and going back: each job also keeps daily snapshots for 30 days, so your owner or office can undo a change or take a job back to an earlier date.
• Something you delete stays in older backup copies until they are deleted on schedule. We only restore from a backup to recover from a failure, and if we do, we delete again anything you had asked us to delete.
• Error tracking: when a screen breaks, Samana sends Sentry the error message, which screen it was on and your browser type, so we can fix it. What you typed, money amounts and names are removed before it is sent. Sentry does not record your screen or sessions, does not store IP addresses, and keeps reports in the US.

How long we keep it

• Your company's records: while your company uses Samana.
• If your company closes its account: you have 30 days to download your records, then we delete them. We keep a copy of your company's Takeoff and Lean records for up to 3 years after they are deleted, to improve how we estimate and price work, with the people taken out: names, emails and phone numbers of your team and your customers, street addresses (only the town and state stay) and photos. The copy is private and encrypted, never shown to anyone outside Sattva, and used only in totals that name no one. The same applies to a single job you delete. Backup copies are deleted on their own schedule (above).
• Billing records: as long as tax law requires.
• Server logs: on our providers' own schedules, normally within 30 days.

Security

Everything sent between you and Samana is encrypted. The database checks who may see each record, by company and by level. Two-step sign-in is available, and changes are recorded in an audit trail. No system is perfectly secure. Keep your sign-in private, and tell us right away at support@samana.tech if you think someone else has used it.

Your choices and rights

• See and correct most of your information in Samana.
• Delete your account yourself in Samana: Settings, then Delete my account. A company owner can delete the whole company the same way. You can also ask us for a copy of your information, or to correct or delete it, by writing to support@samana.tech from the email on your account.
• Stop offer emails at any time (above).
• If you are someone whose details a company entered in Samana (a customer, crew member or partner), that company decides about its records. Write to us and we will pass your request to them.
• Depending on where you live, you may have other rights under local law. We will honour them.

Children

Samana is a work tool for businesses and is for people 18 and over. We do not knowingly collect information from children under 13. If you think a child has given us information, tell us and we will delete it.

Changes to this policy

We will post any new version here with a new date. If a change is important, we will tell company owners by email or in the app before it takes effect.
